Job Summary:

The Undergraduate & Graduate Medical Education (UME/GME) Manager reports directly to the AQL with dotted line reporting to the NCAL Regional UME/GME leadership team. The UME/GME manager supports the Director of Medical Education (DME) to provide oversight and expert consultation for sponsored and affiliate residency and fellowship programs, and undergraduate medical education programs in the following area:

  • ACGME accreditation (Next Accreditation System or NAS) for the medical center and its programs
  • Management of GME Annual Review Process for the medical center and its programs
  • Preparation and management of the Clinical Learning Environrment Reviews (CLER)
  • Leadership and management of UME/GME sponsored and affiliate GME Program Administrators

Essential Responsibilities:

  • Oversees department budget planning and monitoring
  • Manages and administers an annual NPR budget up to 2M
  • Manages IRIS cost reporting documentation for residency training programs.
  • Consults and provides expertise to Quality, DME, Medical Center, affiliates, and outside agencies in areas related to Graduate Medical Education-ACGME accredidation standards, medical licensing, visa issues, Medical funding residency and fellowship program requirements, accreditation applications, appointments, contracts, National Resident Matching program (NRMP) and GME policies and procedures.
  • Reviews ACGME national standards for graduate medical education in the U.S. and ensure GME compliance.
  • Ensures residency and fellowshiip programs meet regulatory agency policies with accrediting bodies- The Accreditation Council for Graduate Medical Education, Council of Podiactric Medicine Education, state medical licensing, the education committee for foreign medical graduates.
  • Ensures compliance with departmental and medical center policies
  • Develops and administers GME policies and procedures
  • Oversees the local post hire process for all residents and fellows; processes loan deferments and letters of verification of employement.
  • Communicates regularly with Regional GME, DME, PDs, faculty, Quality, and GME residency supervisor and residency program administrators to ensure that program remains accredited; responds to departmental inquiries regarding ACGME applications, National Resident Matching Program (NRMP).
  • Oversees the planning and implementation of special GME events
  • Oversees the educational activities of the residency and fellowship programs. Provides orientation sessions and ad hoc instructions to new and continuing program directors and GME Program Administrations.
  • Advises residents on policy and procedures; consults on corrective actions issues.
  • Coordinates with affiliates to schedule rotations and resolve issues.
  • Monitors rotation schedules, logs, didactics, research and evaluations for residents and feollows.
  • Plan, assigns and reviews work of graduate medical education staff to ensure that group objectives are met.
  • In conjunction with Quality and Regional GME, determines hiring decisions, performance appraisals, and staff remediation and coaching activities for GME Administrative Staff, both represented and non-represented.
  • Trains, develops, and manages staff to ensure a qualified staff exists to meet organization goals.
  • Performs other related duties and projects as assigned.

Basic Qualifications:

  • Minimum five (5) years of experience managing a multi-disciplinary staff of professionals, technical and non-exempt employees
  • Minimum three (3) years of experience in functional area.

  • Bachelors degree in business administration OR four (4) years of experience in a directly related field.
  • High School Diploma or General Education Development (GED) required.

Preferred Qualifications:

  • Proven administrative and operations leader
  • Polished verbal communicator comfortable with presenting on behalf of TPMG and GME leadership
  • Ability to synthesize complex data
  • Ability to meet many levels of stakeholder needs in a timely and efficient manner
  • Ability to communicate clearly and effectively
  • Ability to work in a fast-paced environment with several stake needing attention at the same time
  • Strong organizational, communication and decision-making skills are essential, as is the ability to multitask and set priorities
  • Ability to successfully investigate, develop and or implement solutions for ongoing regulatory demands
  • Consideration will be given to those with an advanced understanding of Graduate Medical Education
  • Experience developing education and training programs
  • Experience with budget management and development
  • The National Board for Certification of Training Administrators of GME (TAGME) Certification preferred
  • Masters degree in hospital or business administration preferred.
