Sr. Administrative Assistant

PRIMARY FUNCTION OF POSITION:

  • The Sr. Administrative assistant’s primary role is to provide administrative support to the Regulatory Affairs and Quality Assurance (RA/QA) leadership team. The ideal candidate will be excellent at calendar management, have experience communicating to executives, and will have high integrity to keep in confidence the content of meetings, emails, and documents.

ROLES & RESPONSIBILITIES:

  • Work in tandem with another Sr. Admin to provide support to SVP and multiple VPs of the RA/QA Regulatory Affairs and Quality organization.
  • Schedule meetings, appointments, and maintain executive calendars.
  • Manage and book travel for the VP or SVP’s and proactively coordinates the pre-planning of trips with various internal functions, including agendas and necessary contacts, information, and other necessary preparations.
  • Drives time management to drive the SVP’s and VP’s effectiveness and prioritizes to maximize value of time spent.
  • Take meeting minutes and meeting notes. Follow up on meeting action items
  • Upkeep email distribution lists.
  • Update documents with requested changes
  • Schedule interviews for organization
  • Screen email correspondence (if requested) and review, route and respond to inquiries as appropriate
  • Develop, edit, and publish presentations, prepare agendas, letters, and reports as requested: Collect/produce reports as needed by VPs
  • Complete expense reports.
  • Coordinate with IT on computer issues and computer supplies

SKILLS, EXPERIENCE, EDUCATION, & TRAINING:

  • A minimum of 5 years of administrative support experience including at least 3 years’ experience supporting Executive level staff.
  • Minimum Associates Degree or equivalent work experience
  • Strong knowledge of MS Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Strong communication skills, both verbal and written.
  • High integrity and ability to keep items in confidence
  • A keen ability to prioritize and juggle tasks.
  • Proven dependability, reliability, and resilience.
  • Strong customer service professional presence.
  • Is a team player and works well with others.
