Ultimate Staffing is looking for a Facilities Coordinator / Receptionist in Campbell 

The Facilities Coordinator provides assistance to the facility management team to ensure successful service delivery of the client facility needs. Directly supports the facility management team with on-going facility and team related responsibilities.  The Receptionist responsibilities include answering all incoming calls and directing visitors.

 ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Reception

Interact professionally with all contacts
Answer, screen, and route phone calls, maintain visitor log 
Receive, sort, and distribute mail
Badge new hires, vendors and guests
Manage the daily badge activity
Handle confidential and time sensitive material 

Facilities

Support Facilities team in all aspects of the department Schedule and coordinate meetings, conferences, outreach events, and/or other special events
Greet and help onboard new hires and prepare their workstations in advance of arrivals
Reconcile Facilities related purchases and credit card charges, ensuring charges are expensed to the appropriate cost center and receipts are stored electronically 
Process business card, access badge requests and maintain accurate records
Be the backup for ordering and maintaining office and kitchen supplies
Be responsible for stocking conference rooms and new hire workstation
Maintain Facilities Google calendar, schedule meetings and appointments as requested
Respond to routine emails and evaluate Facilities Jira tickets, providing a timely response and referring questions and complaints to the appropriate staff when outside the scope of authority or knowledge

EDUCATION

Associates or Bachelors degree in facilities management, building, business or other related field preferred
