Administrative/ Back-Office Support Specialist

We have been in business since 2004 and have approximately 500 employees and 5 office locations nationally. In addition to our headquarters in Austin, TX, we have offices in San Jose, CA, Costa Mesa, CA, Scottsdale, AZ, and Portsmouth, NH.

The Administrative/Back Office Support Specialist is responsible for all general administrative functions and activities of the office. This role supports employees through a variety of tasks and ensures efficient operations of the office. This person is proactive and willing to take the initiative to complete unanticipated or ad hoc tasks, as this role is highly dynamic and requires a high level of adaptability to meet the changing needs of the organization.

Job Duties:

• Perform administrative and clerical tasks to support employees, customers, and external contract


• Ensure proper functionality of the mechanics of the office including, but not limited to: greeting visitors, answering phones, filing, stocking kitchen, ordering supplies, booking employee travel, event planning, managing and communicating production reports, overseeing new hire set-up and orientation for internal hires, office space planning, collecting internal and external employee timesheets, running reports, providing billing updates, etc.

• Manage vendor relations with various groups including property management, maintenance, telecom, and IT.

• Help support our production and back-office team; Ensure projects and tasks are completed in an efficient and effective manner

• Maintains office files; implement an efficient system for other staff to access files and records;

retrieve information as requested from records, email, and other related documents.

• Respond to staff inquiries and properly route concerns related to Human Resources and Finance, including payroll, benefits, expense reimbursements, commission reports, or other matters.

• Provides clerical support when needed to assist back-office staff with assigned administrative duties

• Manage special projects and coordinate project deliverables, as needed.

• Additional duties and responsibilities, as needed, based on the frequently changing needs and growth that occurs across the company.

Skills and Experience:

• Associate degree welcomed; bachelor’s degree preferred

• Prior experience as an office or administrative assistant

• Proficiency in full Microsoft Office suite

• Excellent organizational, written, and verbal communication skills

• Able to complete complex administrative tasks with minimal supervision

• Proactive approach to problem solving

• Ability to wear many hats, and prioritize accordingly

• Adept at managing time and effort across multiple activities

• Able to execute processes that may not have defined procedures

• Willing to take the initiative to complete unanticipated or ad hoc tasks

• A willingness to tackle matters in and outside areas of expertise with a can-do, flexible attitude,

understanding that no job is too big or too small

• Maintain high level of confidentiality

• On-site/in-person role
